A year ago, I wrote about what really matters in productivity tools. Since then, I’ve received countless messages from people sharing their own productivity journeys—the wins, the frustrations, and yes, the endless search for that magical app that will finally solve all their workflow problems.

Guess what? A year later – the core truth remains unchanged. That shiny new AI-powered tool with its sleek interface and promises of “revolutionary efficiency” still won’t fix your productivity problems if your mindset is in the wrong place.
Remember when I shared my struggle to move from my beloved Franklin Planner to digital tools? That lesson has only become more relevant based on the AI-saturated productivity App Store. The number and quality of the tools have grown dramatically (and we’ll explore those exciting developments in Part 2), but the foundation remains the same—mindset first, tools second.
So let’s revisit and expand on this critical foundation because as easy as it is to be obsessed with the latest tech solutions, the most powerful productivity upgrade remains the one between your ears.
The Unchanging Truth: Productivity is Not About the Tools
When I was trying to make the leap from analog to digital notes, I discovered it’s important to recognize that it wasn’t just the gadgets and software that made the difference. The real game-changer was how I thought about integrating these tools into my workflow planning. The idea of workflow planning gets lost in the excitement of falling down the rabbit hole of new productivity tools.
There is no improved productivity without improved or foundational workflow habits.
As I emphasized a year ago, adopting the latest productivity tools won’t automatically fix efficiency challenges. Without a foundational workflow strategy and the right mindset, even the most advanced tools can become distractions rather than solutions.
Many of us fall into the trap of “productivity tool hopping”—constantly switching between the latest apps and systems, hoping that each new solution will finally unlock our productivity potential. But this tech rabbit hole usually ends with a lot of unused app subscriptions and the same old workflow problems.
Your Mindset: The Productivity Superpower You’re Ignoring
What is the most powerful productivity tool you have? That 3-pound organ between your ears. Embracing an agile mindset remains important in today’s workplace, where everyone is wearing multiple hats and has less time to focus. This recent Forbes article about having a growth mindset highlights that 80% of executives believe a growth mindset directly contributes to business success.
Want to strengthen this muscle? Try these actions:
- Treating each productivity app as an experiment rather than the end-all, be-all solution
- Take 15 minutes to explore why last Tuesday was your most productive day in weeks
- Bouncing back after a week of distraction with curiosity instead of being overly critical of yourself
- Celebrating your workflow productivity improvements, no matter how small
In our Coffee Chats, I hear stories about how different exercises like those above have been helpful when trying to change productivity bad habits. My own breakthrough came when I stopped seeing my tendency to get distracted as a character flaw and started treating it as a workflow challenge. The result? A revised workflow that works with my brain instead of against it.
Four Essential Mindset Shifts
OMG – the phrase “there’s an app for that.” is no longer a clever saying – it’s actually pretty true. But before you go diving into another app – I’d ask you to consider four mindset principles that I believe are critical to your productivity journey.
- Focus on Process, Not Just Outcomes: Many people carefully (and addictively) check to-do list boxes while their actual productivity plummets. When a coaching client switched from obsessing over her task count to analyzing her work patterns, she discovered that batching similar tasks in 90-minute blocks doubled her output.
- Ask yourself: When was I at my best this past month, and what process made that possible?
- We Aren’t Made To Be Perfect: The “minimum viable product” approach exists for a reason in the tech world. To be honest, there have been many times when my newsletter was stuck in draft hell for weeks until I decided “good enough now” beats “perfect never.”
- What project are you over-polishing right now that could be used at 80%?
- Practice Deep Work: With our attention being diverted by constant notifications, deep work has become a superpower. We can improve our deep thinking time by implementing something simple like: “Meeting-free Wednesdays” or placing “focus blocks” in our calendars. One person I work with increased his strategic output just by turning off email notifications and working in 50-minute uninterrupted blocks.
- What’s your biggest distraction trigger, and how can you design around it?
- Turn Reflection into Ritual: Feedback meetings are nice, but weekly reflection about YOU can be transformative. Here’s an idea: Try “Friday Fifteen.” Spend 15 minutes each Friday assessing what energized you, what drained you, and one process improvement for next week.
- When will you schedule your reflection time this week?
Know Thyself: Assess Your Workflow
Before introducing any new tool—AI-powered or otherwise—into your routine, take time to assess your current workflow:
- What are your biggest productivity pain points? Do you struggle with staying focused, keeping track of deadlines, or collaborating effectively?
- Document your current processes to understand what’s working and what needs improvement.
- Consider your personal productivity patterns—are you a morning person or do you hit your stride later in the day?
- What are your working style preferences? Do you thrive on structure or prefer flexibility?
- Reflect on past productivity systems you’ve tried and why they did or didn’t work for you.
Taking stock of how you actually work (not how you wish you worked) means you’ll pick tools that amplify your strengths instead of fighting your natural tendencies. To help you assess your workflow, I created a handy-dandy workflow audit form to help you discover strengths and gaps in your productivity workflow.
Let’s Wrap this Up: Setting the Stage for Smart Tool Selection
Yes, we have more cool tools to choose from than last year, but here’s the truth: how you think about your work matters more than what app you use. No AI, no matter how advanced, can replace a solid productivity mindset.
By understanding your strengths, weaknesses, and workflow quirks, you can choose tools that complement who you are and how you work, not fight against them. Remember, technology is a tool, not a savior. The most powerful productivity tool you have is your own mindset and intention.
In Part 2, I’ll provide examples of how to build your ideal productivity stack—combining the best of analog methods with digital and AI tools. You’ll learn how this hybrid approach respects your mindset while leveling up your productivity!
